Vacancy: Volunteer Coordinator
The Weald and Downland Living Museum is very lucky to have an amazing team of volunteers who are passionate and dedicated to supporting the museum. We are looking for a Volunteer Coordinator to work with this team to continue to support and welcome volunteers. As well as help to cultivate a positive and supportive atmosphere by managing relationships between volunteer staff and the Museum.

Role overview
We are seeking a passionate and organised volunteer coordinator to provide a friendly, effective contact point for all museum volunteers.
You will be a key member of the volunteer management team and help the volunteer manager to cultivate a positive and supportive atmosphere by managing the relationships between volunteers, staff and the museum, creating a welcoming, respectful, and rewarding experience for our volunteers.
This role is central to ensuring volunteers feel valued, engaged, and aligned with our mission, while contributing meaningfully to our programmes and visitor experience.
This role will require working Saturdays and Sundays every week.
Key responsibilities
- To provide a visible presence on site, attend morning briefings and walk around site to talk to volunteers and support them in their role
- Manage the volunteer inbox and attend to routine admin work
- Update and maintain accurate volunteer records on our volunteer database – Better Impact
- To be aware of personnel issues relating to volunteers, and deal with them in an appropriate and confidential manner, involving other colleagues as required
- Deal with general volunteer enquiries i.e. Expenses, logoed uniform etc.
- Manage rotas
- Support the volunteer department in volunteer events
- To maintain and ensure volunteer rest areas are always clean and tidy and well stocked with refreshment supplies
- Help organise / set up / clear away internal training courses open to volunteers
- Assist with ad-hoc requests and any other tasks as required
- Promote the museum, its volunteer efforts, and accomplishments internally and externally
- Support the volunteer cohort in regard to Safeguarding and Health & Safety
Person specification
- Excellent communication and interpersonal skills
- Excellent administration skills – good working knowledge of Word, Excel and Outlook
- A flexible team player with a positive attitude
- Understanding of volunteers and the charitable sector
- Excellent prioritisation and organisation skills
- Good initiative and judgement skills with the ability to problem solve and make appropriate decisions with minimal supervision
